Hiring and timekeeping for all hourly student employees, including grant-funded student hires, with start dates on or after Aug. 30, 2026 will take place via JobHawk. This change utilizes existing technologies to streamline the student hiring process resulting in more accurate, consistent, and timely hiring of our hourly student employees.
For all hourly student employees with start dates on or after Aug. 30, 2026:
Supervisors/departments will:
- Post jobs and screen applicants in JobHawk
- Submit hire requests in JobHawk
- Ensure all onboarding requirements are complete before allowing student employees to start working (viewable in JobHawk)
- Approve Electronic Personnel Action Forms (ePAFs) during the approval flow process
- Approve student employee time in JobHawk/TimesheetX by 2 p.m. on Critical Mondays
- Rehire current hourly paid grant-funded student employees with an end date after Aug, 29 through JobHawk
Student Employment will:
- Review and approve job postings in JobHawk
- Approve student hire requests and notify both supervisors and students
- Provide student with direct access to onboarding paperwork (including the I-9) once a student accepts a position
- Submit ePAFs to HR after all onboarding requirements (including the remote I-9 verification meeting) are completed
Human Resources will:
- Ensure that all paperwork and a completed I-9 are on file for each student hire
- Implement all ePAFs after approvals are completed
Additionally, supervisors/departments will submit any job change requests (e.g., funding changes, pay rate changes or termination requests) to Student Employment for processing. The ePAF change request form is available in JobHawk for supervisor use.

Student Employment will offer training sessions on JobHawk in June and July. Please indicate your training interest and availability. Details on training will be sent in late May.
Please note that Teaching Assistant and Research Assistant hiring as well as students paid by stipend remains unchanged at this time.
