Implementing Document Imaging

A comprehensive document imaging solution has been identified for campus business needs. This includes the need to replace existing, but aging, tools used to scan and distribute information and also to deliver new functionality to archive print documents and reduce necessary filing/storage.  Still further, the technology solutions available today could also be used as document repositories that provide electronic check-in/check-out of documents with version controls. There are workflow tools available that would allow a form to route from one place to another without ever being printed.   

As this is a new technology solution for the campus, we will need to move slowly to assure we make good decisions on the tools, policies, and process so this can be a sustainable solution for the future of UMass Lowell.  In an effort to control the scope of this initial phase of the project, we are looking at this as a tool to manage administrative functions versus research and academic drivers.

Milestones

  • Spring 2010 - Licensed with Perceptive Software to implement its ImageNow application
  • Fall 2010 - Roll out access to Graduate Admissions office and graduate program coordinators
