General Summary (Purpose) of Position
The Staff Assistant provides administrative assistance to the Department staff to support the teaching, research, service, and outreach activities of the department.  This includes maintaining the department office, establishing and maintaining files and records, directing work study students, and keeping office in good order.

Examples of Duties:
1. Provide administrative support to Department staff by:
• Answering phones, taking messages, directing visitors.
• Maintaining office supply inventories and ordering supplies as needed.
• Establishing files and archiving information for future reference.
• Creating correspondence for staff.
• Organizing and participating in office team meetings and departmental events and activities (colloquia, faculty meetings, seminars, banquets, etc.)
• Establishing and maintaining database on current majors, recent graduates, and part-time faculty.
• Overseeing department equipment operation and service as necessary.
• Typing and editing materials as requested.

2. Provide logistical support to the Department Chair by:
• Establishing and maintaining key control system, staff mailboxes, etc.
• Monitoring attendance and communicating necessary information to Payroll.
• Taking minutes of departmental meetings as required.
• Entering requisitions and timesheets into PeopleSoft.
• Maintaining student records in ISIS.

3. Oversee student employees by:
• Preparing job descriptions for available positions.
• Recruiting and training student workers.
• Monitoring workflow of student workers.
• Overseeing work-study student schedules and timesheets, including payroll submission.

 4. Demonstrate the University’s commitment to customer service and continuous improvement by:
• Ensuring optimum customer service in response to all requests for service and information.
• Building effective partnerships with co-workers both throughout the University by freely sharing appropriate information and providing assistance when needed.
• Maintaining an office environment that is welcoming to persons of all backgrounds, nationalities, and roles.

MINIMUM QUALIFICATIONS:
• Associates Degree in Business Management, Bachelor’s preferred.
• 3 to 5 years of related work experience, preferably in an academic/higher ed environment.
• Demonstrated experience with computer software including word processing, spreadsheet, web page, and database systems.  Experience with PeopleSoft and ISIS desirable.
• Demonstrated ability to consistently meet daily, weekly and monthly deadlines.
• Demonstrated ability to write well and spell accurately.

Supervision Received:  Reports to Department Chairperson
