General Summary (Purpose) of Position
The purpose of the Center Administrator is to provide administrative support for the operation of a grant-funded research center. The Center for the Promotion of Health in the New England Workplace (CPH-NEW) is funded to assess opportunities for, obstacles to, and benefits of the integration of health protection and health promotion in the workplace; the Center Administrator supports the activities of two projects within CPH-NEW and maintains documentation of the center’s work overall.
Hours: This is a full-time position (37.5 hours per week) to be performed on campus during standard business hours.
Salary range $40,000 - $50,000 depending upon experience and budget limitations. Position contingent upon continued funding.
Examples of Duties:
1. Provide administrative support to CPH-NEW by:
• Managing the office including establishing files and archiving information for future reference, answering phones, taking messages, maintaining office supply inventories and ordering supplies, as needed.
• Managing the project budget, maintaining financial database and financial record-keeping.
• Communicating with persons at collaborating and affiliated institutions (telephone and written correspondence).
• Organizing and participating in phone conference calls and meetings; taking and organizing meeting minutes.
• Scheduling staff travel; preparing travel authorizations and expense vouchers.
• Maintaining logs of center and project events and progress.
• Maintaining the Center library (electronic and physical).
• Maintaining the CPH-NEW website.
2. Provide support for research projects by:
• Preparing documents such as IRB applications, informed consent forms, study questionnaires, mailings to study participants, training materials, etc.
• Packaging materials when needed for field data collection (e.g., sets of questionnaires, informed consent forms, business reply envelopes, etc.).
• Scheduling staff travel; preparing travel authorizations and expense vouchers.
• Tracking worker participants and processing incentives at each stage of data collection.
• Using Teleform to prepare scannable questionnaires and for data entry; carrying out data cleaning and file management (and/or supervising others to perform these tasks).
• Generating reports and assisting with manuscript writing.

MINIMUM QUALIFICATIONS:
• Bachelors degree
• At least 5 years experience as a Project Administrator or Executive Secretary or comparable position, preferably in an academic or non-profit environment, including financial management.
• Demonstrated familiarity with Windows-based computer applications: word processing, spreadsheets, financial management and procedures for web, e-mail, publications, and presentations.
• Experience with TeleForm data entry software or Endnote bibliographic software preferred.
• Valid driver’s license and personal automobile preferred for travel to off- campus meetings.
Supervision Received: Reports to the Principal Investigator and Project Managers
