Steps to follow in obtaining a job on campus
- A student seeking employment on campus with the assistance of the Student Employment Office, must have been awarded either a Federal Work Study award, or a Campus Work Program award for the 2008-2009 academic year.
- Students who have never worked on campus before must complete the I9 form & W4 form documents before a contract can be processed for them. Completed forms along with a copy of two forms of ID (see back of I9 form) may be mailed or faxed to the Student Employment Office.
- Note: The Immigration Reform and Control Act of 1986 requires UML to verify the identity and employment eligibility and complete an I9 form for every employee hired after November 6, 1986. In addition, the law obliges UML not to discriminate against individuals on the basis of national origin or citizenship, or to require more or different documents from a particular individual.
I-9 Requirements: New employees must complete section 1 on an original I9 form on or before your first day of work. You must present acceptable documentation when you complete the I9 form. A list of acceptable documents appears on the back of the I9 form. You must present the document(s) within 3 business days of the date employment begins. If you are unable to present the required document(s), you must present a receipt for the application for the document(s) within 3 business days. You must then present the actual document(s) within 90 days of the date employment begins. A copy of your documentation will be attached to your I9 form. If you are appointed for less than 3 days, you must complete section 1 and present acceptable documentation on your first day of work. For more information please consult the U.S. Citizenship and Immigration Services.
Important: Any hours worked before an I-9 is completed will be considered volunteer time and will not be paid.

- Return contracts signed by you and your supervisor to the Student Employment Office.
- Contracts will be forwarded to payroll for processing.
- Submit your timesheet to the payroll office 10 a.m. on Thursdays. Your paycheck will be issued bi-weekly and can be picked up in the Treasury Office in Dugan Hall.
Reasons You May Not Receive A Paycheck On Time
Every effort is made to ensure prompt payment of employee contracts. However, there are a number of reasons that could cause a paycheck to be delayed or not issued. They are as follows:
- A contract is not signed by all authorities before an employee begins working.
- A completed contract was not received by the payroll office before processing deadline.
- A timesheet is missing necessary information, such as social security number, account number and/or necessary signatures.
- A timesheet was not submitted at all.
Students are responsible for keeping track of their hours. Work awards cannot be exceeded. The maximum amount of hours a student can work per week while school is in session is 22. Students are able to work during school breaks, a maximum of 37.5 hours weekly, only if they have enough hours left in their award from the previous semester.
Timesheets
Completing your timesheet by appropriate deadlines is essential to your receipt of a paycheck. Once you have completed the timesheet your supervisor will sign it and forward it to the appropriate department timekeeper.
Additional Work Study Forms
Remember
- Timesheets are due every week that you work
- Timesheets must be submitted by 10 a.m. on Thursday of the week worked
- Timesheets may be required earlier during certain weeks to accommodate a holiday schedule, school closing, or other business needs
- Departments may have other requirements; please be sure to check with your supervisor
How do I get a job if I don't have a work award?
The Student Employment Office has a Job Locator Program that is designed to help students find part-time, off campus employment opportunities. Job listings are posted on a bulletin board in the Financial Aid Office.
Students do not have to be financial aid recipients to fill out a Job Locator Application. After completing the application, a student can choose up to three posted jobs and receive a referral card that provides pertinent information in contacting the hiring manager for an interview.
How do I obtain a copy of the Student Employment Handbook?
The Student Employment Handbook is available on our website or in the Financial Aid Office, Dugan Hall.
